Privacy Policy
This Privacy Policy ("Privacy") outlines the procedures by which APINA processes and safeguards the privacy of your personal information.

To execute our business functions and activities, which encompass the creation and management of travel bookings on behalf of our clients, it is imperative for us to collect, utilize, and disclose personal information. We are unwaveringly dedicated to preserving the privacy and confidentiality of personal information. To uphold this commitment, we employ a range of physical, electronic, and procedural safeguards.

Under the EU General Data Protection Regulation and analogous legislation, we assume the role of a "data controller" (or equivalent) for the processing of personal information provided in connection with:

  • Our provision of business travel services.
  • The delivery of leisure travel services.
  • All our marketing activities.
  • Our business consultancy activities.

In instances where local data protection laws impose more stringent information handling practices than those delineated in this Privacy Policy, we will adjust our information handling practices in your jurisdiction to align with these local data protection laws.
The types of personal information
In general, the personal information we collect is pertinent to facilitating your travel arrangements, bookings, and organizing travel-related services and/or products on your behalf. Accordingly, we typically process the following types of personal information:

  • Contact information (including name, residential/mailing address, telephone number, and email address).
  • Health information, such as dietary requirements and any health issues you may have.
  • Other details relevant to your travel arrangements or mandated by the relevant travel service provider(s), such as airlines and accommodation or tour providers.

Additionally, we gather online identifiers, including your IP address, and data pertaining to your device and the network you use to connect with us.

We will exclusively gather sensitive information in adherence to your local data protection laws, with your explicit consent, and when it is reasonably necessary for, or directly linked to, one or more of our functions or activities (e.g., making travel arrangements), unless compelled or authorized by law to do otherwise. Subject to the extent permitted or required by your local data protection laws, you provide consent for us to use and disclose your sensitive information for the specific purpose for which it was collected.

For instance, if you furnish health information for a travel insurance application, you consent to us using and disclosing that health information to facilitate the arrangement of travel insurance on your behalf. We commit not to utilize or disclose sensitive information for purposes other than those for which it was collected, unless we subsequently obtain your consent for an alternative purpose.
Collection of personal information
We will gather personal information strictly in accordance with your local data protection laws. Typically, we collect your personal information directly from you during our interactions. This collection usually takes place when:

  • You engage with us in person, by telephone, letter, or email.
  • You visit our website.
  • You connect with us via social media.
We may collect personal information about you when:
  • You purchase or inquire about travel arrangements or other products and services.
  • You request brochures or other information from us.
  • You provide information or use our services on social media.

Unless you choose to remain anonymous, we may also collect your personal information (excluding sensitive information) when you complete surveys or provide feedback, provided you do not opt for pseudonymity.

In certain circumstances, we may need to collect personal information about you from a third party, such as when someone makes a travel booking on your behalf, including travel arrangements for you (e.g., family or group booking or a booking made by your employer). In such cases, we rely on the authority of the person making the travel booking to act on behalf of other travelers on the booking.

It is important to notify us immediately if you become aware that your personal information has been provided to us by another person without your consent, or if consent was not obtained before providing another person's personal information.

We are committed to maintaining the accuracy and completeness of the personal information we store, and your cooperation in promptly notifying us of any changes or inaccuracies is crucial. We, however, will not be held responsible for losses resulting from inaccuracies in the personal information provided by you or a person acting on your behalf.
We will process your information only if:

  • You have provided consent for such processing.
  • Processing is necessary to provide our services to you.
  • Processing is necessary for compliance with our legal obligations.
  • Processing is necessary for our legitimate interests or those of any third-party recipients receiving your personal information.

When you book or arrange travel-related products and services through us, we usually act as an agent for the relevant travel service providers. In such cases, we process your personal information as required to provide the services you requested from us. This includes collecting personal information for our internal purposes and for the travel service provider for whom we act as an agent (e.g., to provide the booked services). For instance, if you book a flight through us, we use your personal information to facilitate the booking and disclose it to the airline to enable them to provide the flight service to you.

We may share your information with travel service providers, such as hotels, airlines, car rental companies, or other providers, who fulfill your travel bookings. These providers may use your personal information as described in their respective privacy policies and may contact you for additional information, to facilitate your travel reservation, or to provide requested services. We encourage you to review the privacy policies of any third-party travel service providers whose products you purchase through us. Relevant terms, conditions, and privacy policies of travel service providers will be provided upon request.

Permitted by local data protection laws, we may use your personal information to send targeted marketing activities related to our products and services (and those of third parties) that we believe may interest you, unless you have opted not to receive such information. These may include mailouts, electronic marketing, notifications, and telephone calls. We will only use your personal information to send electronic marketing materials to you if you have opted in or have not opted out, depending on applicable law. You can subscribe to receive e-newsletters and other electronic promotional/marketing materials through our website or by requesting assistance from our consultants.
Disclose Personal Information to Third Parties
We do not and will not sell, rent, or trade your personal information. Your personal information will only be disclosed to third parties as outlined in this Privacy Policy and, particularly, as detailed below, in accordance with your local data protection laws. In the context of this Privacy Policy, when we use the term "disclose," it encompasses transferring, sharing (verbally and in writing), sending, or otherwise making your personal information available to another person or entity. Your personal information may be disclosed to the following types of third parties:

  • Our independent contractors, suppliers, and service providers, including but not limited to: IT-based solutions providers aiding us in delivering products and services to you (such as external data hosting providers); publishers, printers, and distributors of marketing material; event and expo organizers; marketing, market research, research and analysis, and communications agencies; mailing houses, freight services, courier services; and external business advisers (e.g., lawyers, accountants, auditors, and recruitment consultants).
  • Our related entities and brands.
  • Travel service providers, including travel wholesalers, tour operators, airlines, hotels, car rental companies, transfer handlers, and other related service providers.
  • Any third party to whom we assign or novate any of our rights or obligations.
  • Financial institutions, such as banks, involved in processing financial transactions.
  • A person making your travel booking on your behalf, where someone else is booking travel on your behalf (e.g., a family member, friend, or work colleague).
  • Your employer, if you are an employee of one of our corporate, business, or government clients and you are participating in an event or traveling for work purposes.
  • A person who can verify to us that they have a relationship with you (e.g., a family member) where you are not contactable, the person correctly answers our required security questions, and the request is, in our opinion, in your interest (e.g., where the person is concerned for your welfare or needs to take action on your behalf due to unforeseen circumstances).
  • As required or authorized by applicable law, and to comply with our legal obligations.
  • Customs and immigration, to comply with our legal obligations and any applicable customs/immigration requirements related to your travel.
  • Government agencies and public authorities, to comply with a valid and authorized request, including a court order or other valid legal process.
  • Various regulatory bodies and law enforcement officials and agencies, for the purpose of protecting against fraud and related security measures.
  • Enforcement agencies when we suspect unlawful activity and the personal information is a necessary part of our investigation or reporting of the matter.

When you engage us to book flights on your behalf, we will provide your personal information (i.e., name, email address, and/or mobile number) to the relevant airline. This enables airlines to directly inform passengers of irregular flight operations and disruptions (e.g., flight cancellations and schedule changes).

Other than the above, we will not disclose your personal information without your consent unless we reasonably believe that disclosure is necessary to lessen or prevent a threat to the life, health, or safety of an individual or to public health or safety or for a certain action to be undertaken by an enforcement body (e.g. prevention, detection, investigation, prosecution or punishment of criminal offenses), or where such disclosure is authorized or required by law (including applicable privacy/data protection laws).
Social Media Integrations
Our website may incorporate social media features and widgets (such as "Like" and "Share" buttons/widgets), which are supplied and operated by third-party companies (e.g., Meta). These features may be hosted by a third party or directly on our website. Social media features have the capability to collect information, including the page you are currently visiting on our website/mobile application and your IP address.

If you are logged into your account with the third-party company, it may link information about your visit and use of our website to your social media account. Likewise, your interactions with these social media features may be recorded by the third-party company. Additionally, the third-party company may share with us information in accordance with its policies, such as your name, profile picture, gender, friend lists, and any other information you have chosen to make available. We may reciprocally share information with the third-party company to facilitate targeted marketing to you via the third-party social media platform. You have the ability to manage information sharing and opt-out from targeted marketing through your privacy settings for the third-party social media platform.

Your engagement with these social media features is subject to the privacy policy of the third-party company providing them. For further details about the data practices of these third-party companies, and to understand more about what personal information is collected about you and how the third party utilizes such information, please refer directly to their privacy policy.
IP addresses
When you visit our website or open electronic communications from us, our servers may log data related to your device and the network through which you connect with us, including your IP address. An IP address is a set of numbers that uniquely identify your computer and is typically assigned when you access the internet.

We may utilize IP addresses for system administration, addressing security concerns, and aggregating anonymized data regarding the utilization of our website and/or mobile applications. Additionally, we may associate IP addresses with other personal information we have about you, using it for the purposes outlined above, such as refining our marketing and advertising materials, provided you have opted in to receive electronic marketing.
Tracking Technologies
We may employ the services of third-party web analytics providers on our website. These analytics providers utilize technologies such as cookies and web beacons to assist us in analyzing the usage patterns of visitors to our website.
Linked Sites
Our website may include links to third-party websites that are beyond our control. We do not assume responsibility for the privacy practices or content of such websites. We recommend reviewing the privacy policies of any linked third-party websites you visit, as their policies and practices may vary from ours.
Privacy Policy Updates
We reserve the right to modify this Privacy Policy periodically. If any changes are made, the updated version will be published on our website. We will display a noticeable notice on our website to inform you of any substantial changes to our Privacy Policy and specify the latest update date at the end of the document. It is your responsibility, and we recommend that you periodically check the website to stay informed about any alterations.
